Photo releases and guidelines

If your department is planning an event open to individuals under the age of 18, please note photographs of minors require written consent of a parent or legal guardian. You must obtain signed copies of this photo release prior to your event.

  • If you have questions regarding whether your event requires a photo release, please contact the Office of General Counsel in advance of your event.

Guidelines for sharing, collecting, and storing photo releases

  • The department organizing the event is responsible for distributing and obtaining signed photo releases for participants under the age of 18.

  • Photo releases can be shared in advance of the event, during registration, or signed by a parent or legal guardian on site. Sharing in advance of an event is encouraged to better ensure the photo releases are signed and returned before the event.

  • Photo releases should be made available to registered participants of camps, clinics, field trips, or other similar visits to campus (excluding public gatherings or ticketed arts/athletics events).

  • Photo releases can be signed electronically or via hard copy.

  • Event organizers are responsible for retaining the signed photo releases. The releases can be stored in hard copy or electronically.
